Business Development Coordinator
Position Overview
The Business Development Coordinator plays a key role in supporting ATS’s revenue growth by ensuring opportunities are captured, tracked, coordinated, and consistently advanced through the sales process. As opportunity volume continues to increase, we are adding dedicated support to ensure disciplined follow-up and consistent deal progression.
This position serves as a proactive partner to Business Development, department managers, and leadership — helping maintain visibility, accountability, and growth momentum across active pursuits.
For the right individual, this role offers a growth path into expanded business development responsibility over time.
Core Objectives
- Ensure no opportunity falls through the cracks
- Maintain disciplined CRM and pipeline visibility
- Improve internal follow-through on proposals and pursuits
- Support structured outbound prospecting efforts
- Assist in generating and coordinating proposals
- Help convert activity into wins
Key Responsibilities
CRM & Pipeline Management
- Maintain accurate, real-time CRM records
- Track opportunities through defined sales stages
- Log meetings, calls, notes, and next steps
- Provide weekly pipeline visibility reporting
- Identify and flag stalled opportunities
Opportunity Coordination & Advancement
- Monitor active proposals and pursuits
- Help with proposal writing
- Coordinate with subject matter experts and managers to gather required inputs
- Track internal deadlines and commitments
- Send timely follow-ups to ensure deliverables are met
- Escalate prolonged delays through defined channels when necessary
- Support consistent post-proposal follow-up
Inbound & Outbound Support
- Respond to inbound inquiries promptly
- Conduct structured outbound calls and emails
- Coordinate meetings for Business Development and leadership
- Support lead generation and refine outreach lists
- Track outreach metrics and activity levels
- Attend occasional networking events and staff 3-4 in-state trade shows per year
Research & Opportunity Capture
- Monitor municipal and industry sources for RFQs and potential leads
- Identify early indicators of upcoming projects
- Ensure event and networking contacts are entered into the CRM and followed up
- Support industry event preparation, staffing, and opportunity capture
Success Indicators
- CRM data is accurate and consistently maintained
- Internal deadlines are met
- Opportunities move forward without unnecessary delay
- Outreach activity is steady, measurable, and improving
Requirements
- CRM experience (we use ZOHO) or similar prospecting / client tracking systems
- Industry experience in construction, engineering, architecture or related AEC industry
- Strong customer service skills
- Prior sales support experience, i.e. sales, sales admin, client management, etc.
- Clear and professional written and verbal communication skills
- Highly organized with exceptional attention to detail
- Professional, proactive, persistent, and comfortable driving momentum and strong follow-through
- Coachable, and growth-oriented
- Proficient in Microsoft Word, Excel, Outlook, and Adobe
